Client emails and share links

Send clients scheduled branded updates, or share a report with a read-only link that expires. A read-only client login comes with every plan.

Overview

Client emails are set per client site on its page in the client portfolio. How often is Off, Monthly or Quarterly, and Recipients takes up to ten addresses. Each email goes out on the first day of the month or quarter and covers the period that just ended: score, errors, items to review, pages checked, criteria with evidence, month by month, the most frequent problems, the statement and feedback from visitors. Preview email, Send a test to me and Send now to recipients are next to the settings.

A share link opens one client report, read-only, without an account. On the Reports screen, choose Share on a report, set Link stops working after to 7 days, 30 days, 90 days or 1 year, and press Create share link. The link is shown once: copy it then. The Share links table lists each link's status, when it was created and its views, with Revoke next to it. Anyone who opens a revoked or expired link sees that it has been withdrawn.

The Accessibility client role lets a client sign in to their own WordPress and see the accessibility Overview and Reports, and nothing else. Every Lumtera change is refused with a plain message, and Check all content is hidden. Give a client user this role under Users in WordPress.

Why does it matter?

Clients want to see progress without logging in to a tool they do not know, and agencies do not want to email attachments every month. Sharing needs to be easy for the client and safe for the site.

Plans and access
Client emails and share links: Growth, Agency and Unlimited. The Accessibility client role: every plan, Personal included. Client emails are set on the portfolio, which needs an administrator. Share links need the Manage client reports permission, which administrators have and can give to editors, and client-role users cannot make them.
Link security
Only a scrambled copy of each link is kept, so it cannot be shown again. Pages opened from a link are never cached or indexed by search engines. Up to 20 links per report; if the plan lapses, links stop working.
View log
Each view is counted, and recorded in the activity log at most once an hour per link. Nothing about the visitor is recorded.
Report links in emails
When the client site runs Lumtera Pro and the connection user is an administrator there with the Manage client reports permission, an email can link a fresh full report through its share link. Otherwise the email is the summary alone, and the settings say why.
Delivery
Emails are sent by your site through WordPress, so an SMTP plugin helps. Replies go to the contact email in your branding. Results older than seven days are not sent, and a failed send is tried again daily for up to seven days.

Can a client change anything?

No. The Accessibility client role can view results and reports, and every change is refused. A share link opens one report and nothing else.

What does the email subject say?

The site name, "accessibility update" and the period, such as a month or a quarter.

Do client emails mention Lumtera?

They end with "Checked with Lumtera." unless white-label is on.

Is this the same as the Lumtera Reporter role?

No. Lumtera Reporter is for the portfolio connection and can read the summary only. The Accessibility client role is for a person who signs in to look at results.
